Prospective Employers

Campus departments, government agencies, nonprofit organizations, and for-profit companies are eligible to become a Work-Study employer.

Off-Campus (see below for On-Campus)

The incentive for employers to hire Work-Study students is the hourly-wage subsidy the Federal Work-Study Program provides. This works out to be either a net 50%-50%, or net 55% (Federal Work-Study Program) - 45% (employer) for nonprofit or government organizations, or net 40% (Federal Work-Study Program) - 60% (employer) for for-profit businesses.

Employers need to complete the following four steps before they can hire a Cal Work-Study student to begin work at a cost-saving rate.

  1. Employer: Contractual Agreement - All off-campus employers must have a current, active, and signed Contractual Agreement package with the Work-Study Office. The contract for nonprofit or government organizations or for-profit businesses can be found at the following links. The contract package can be filled out online, printed, signed, and mailed to the address below. Please note the checklist to make sure the packet is complete.

  3. Employer: Job Request - Once an off-campus employer's Contractual Agreement package has been received, approved, and processed by the Work-Study Office, the employer is emailed a User ID and Password to register/post a Job Request through the Work-Study website. The Job Request is very important, (even if the employer has a student pre-selected for a job), because it enters the position into the Work-Study system. This is a very simple process, but without a Job Request, Work-Study funds cannot be applied to the position.
  4. Student: Award - Before being referred through the Work-Study Office for hiring, the student must have Work-Study as part of their financial aid package. Students can view the details of their financial aid package on MyFinAid.
  5. Employer/Student: Job Referral - When a student is hired, the employer refers the position to the student by logging into the Employer area of the Work-Study website and
  6. a) Selecting "Jobs" and then "Job Listings"
    b) Scrolling down, finding the job in question, and selecting the 10-digit job number (far left)
    c) Scrolling down, selecting "Refer student to this job", entering the Student ID (SID), and following the prompts

The student will then log in to the Students area of the Work-Study website to accept or decline the job offer. Once that's done, confirmation emails are sent.

Please note, any earnings by a student prior to the completion of this process is not considered Work-Study, and thus cannot receive the federal subsidy. Never hesitate to call or email if you have any questions.
